ImpactNote helps you capture a short weekly reflection on your work and turn it into a library you can use for performance reviews and interviews. It is created and operated by Theophilus Fredrick. This policy explains what we collect, how we use it, and the control you have over it. We collect as little as possible.
What we collect
Your account.An email address, used to sign you in with a one-time code. We don't use passwords.
What you write and say. The reflections you record, the text we transcribe from them, and the entries, summaries, projects and saved answers created from them. Voice recordings are transcribed and not retained after transcription; we store the text, not the audio.
Your profile. Your name, role and level, the skills you choose to focus on, and your reminder preferences (day, time and time zone).
Feedback you send. If you use the in-app feedback form, we store your message, the category you choose, and which screen you were on, so we can respond and improve ImpactNote.
How we use it
We use your data only to provide ImpactNote: to transcribe and organize your reflections, to answer your interview questions from your own library, and to send the weekly reminder you asked for. We also use feedback you send to fix problems and improve the app. We do not sell your data, show you ads, or use your reflections to train our own models.
AI processing
To transcribe your voice, clean up the transcript, and turn your reflections into structured entries and interview answers, the relevant text and audio are sent to our AI provider, Groq, which runs the speech and language models on our behalf. Only what's needed for that request is sent. We don't use your content to train any model, and we ask our provider to process it solely to return your result.
Where your data lives
Your data is stored with Supabase (managed Postgres, encrypted at rest) and the app is hosted on Vercel. Weekly reminder emails are sent through Gmail. These providers process data on our behalf to keep ImpactNote running.
Cookies
We use only the cookies needed to keep you signed in and to remember small interface preferences. We don't use advertising or third-party tracking cookies.
Your control
You can edit or delete any entry, summary or saved answer at any time. You can turn the weekly reminder off, or unsubscribe directly from any reminder email. From Settings you can delete your account, which permanently removes your profile and everything in your library. Deletion is immediate and can't be undone.
Retention
We keep your data for as long as your account exists. When you delete an item, or your account, it is removed from our database.
Children
ImpactNote is meant for working professionals and isn't directed at children under 16. We don't knowingly collect data from them.
Changes
If we make a meaningful change to this policy we'll update the date above and, where appropriate, let you know in the app.
